JOB DESCRIPTION

POSITION TITLE:ASSISTANT TRANSPORTATION COORDINATOR -- Non-Exempt

HOURS: Monday - Friday, 8:30am - 4:30pm

REPORTS TO:  Transportation Coordinator, in conjunction with Director of Senior & Disability Services

POSITION SUMMARY:   Under the supervision of the Transportation Coordinator, and in conjunction with the Director of Senior & Disability Services, position is responsible for the efficient, effective and safe implementation of the Township's Transportation policies and procedures and the daily operations of the Transportation Department. The Assistant Transportation Coordinator utilizes the Ecolane software system to register clients, schedule rides, and address denials.

ESSENTIAL POSITION RESPONSBILITIES:

  • Responsible for promptly and politely communicating with residents regarding reservation requests, and when necessary, offering other appropriate transportation referrals;
  • Enter appointment requests into Ecolane; sharing details with passengers, including ride denials;
  • Communicate with new/existing clients regarding the transportation services offered by the Township, and ensures all registration paperwork is complete and on file;
  • Monitor Ecolane scheduling throughout the day; generate reports as requested;
  • Reach out to clients regarding appointments or scheduling issues;
  • Dispatcher regarding daily communications with drivers;
  • Responsible for daily operation of the TRIP program. Along with Transportation Coordinator, handle TRIP calls and TRIP ride requests, ongoing communications with TRIP personnel; responsible for ongoing TRIP program ride monitoring and reporting; attend TRIP committee calls;
  • Serve as alternate driver on an as-needed basis, requiring knowledge of the operation of Township buses;
  • Serve as Transportation Coordinator when Transportation Coordinator is out of the office; 
  • Responsible for timely and appropriate communications to the Transportation Coordinator and/or Director of Senior & Disability Services regarding accidents/incidents involving Township vehicles or personnel;  
  • Responsible for maintaining a professional working relationship with drivers, Township personnel, vendors, maintenance facilities, PACE, and the Village of Arlington Heights Public Works Department.
  • Perform all other duties as assigned by the Transportation Coordinator and/or Director of Senior & Disability Services.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must have excellent computer and technology skills, including Microsoft Office applications (ie., Word, Excel, Outlook);
  • Must demonstrate willingness and ability to learn new software applications;
  • Excellent customer service, listening, phone, written, and communication skills;
  • Patience in working with - and sensitivity to -- older adults and permanently disabled persons who may have limitations of hearing, eyesight, mobility or cognition;
  • Ability to efficiently, effectively and respectfully communicate with office/transportation personnel, residents, other Township staff, and the general public;
  • Ability to read, comprehend, listen to, and follow complex verbal or written instructions from multiple sources concurrently;
  • Demonstrate excellent knowledge of geographic area and/or capacity to learn quickly;
    • Others, as specified.

SUPERVISORY RESPONSIBILITIES

  • None, except when Transportation Coordinator is out of the office;

QUALIFICATIONS & EXPERIENCE

  1. Dispatching, transportation office experience, or customer service experience is preferred;
  2. Experience working with older adults or disabled persons is a plus;
  3. Experience with, or exposure to, Ecolane scheduling software is a plus;
  4. Previous professional driving experience is a plus;  
  5. Must be 21 years of age or older;
  1. High School diploma or GED required;
  2. Must hold a valid Illinois Driver's License;
  3. Prior to hire:
    1. Must have a clean driving record (MVR). Driving record will be re-checked annually;
    2. Must clear a criminal background check; will be rechecked annually;
    3. Must clear a National Sex Offender Registry check; will be rechecked annually;
    4. Must pass pre-employment DOT physical and drug testing in accordance with FTA, DOT, PACE and Township policies in order to obtain and maintain an MEC card;
  4. Must successfully pass PACE driver training class within first 75 days of employment; 
  5. Must successfully pass an annual DOT physical in order to maintain an MEC card;
  6. Must successfully pas annual drug testing in accordance with FTA, DOT, PACE and Township policies;
  7. Must successfully complete CPR training every two years;

PHYSICAL DEMANDS

  • Must be able to sit, walk, stand, use fingers in a repetitive motion, twist, turn, bend and lift for extended periods of time;
  • Must be able to get in/out of Township bus multiple times an hour, when required to drive;
  • Position requires the ability to lift and carry up to 30 lbs;  
  • Must be able to safely push/pull large individuals in wheelchairs;
  • Must be able to meet the physical demands of securing a wheelchair;  
  • Requires the safe operation of a heavy motor vehicle;

ENVIRONMENTAL CONDITIONS:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job with reasonable accommodations.

  • This position is primarily executed indoors. However, it may require contact with outdoor weather when acting as bus driver;
  • Contact with low noise levels are common in an indoor working environment. Moderate to loud noise levels may be experienced when driving a bus;
  • May experience normal vehicle operation conditions such as vibrations, contact with gas fumes and other noxious odors, as well as extreme illumination from headlamps.
